STEP ONE:

Please have your Certificate of Liability Form ready to be attached before beginning the application process. Submissions without this form will be rejected.

STEP TWO:

Please review Section 1: Facility Amenities and Fees. It is required for Section 1 to be acknowledged, signed and dated before moving on to Section 2.

STEP THREE:

Section 2: Cross Country Rental Request Application. Don’t leave fields blank. Please type, “N/A” or “Not Applicable” for questions that do not apply.

STEP FOUR:

Section 3: Release of Liability and Indemnification for Damages. Don’t leave fields blank. Please type, “N/A” or “Not Applicable” for questions that do not apply.

STEP FIVE:

Please attach the Certificate of Liability Form from your insurance company in Section 4: Certificate of Liability Form. Submissions without this form attached will be rejected.

STEP SIX:

Section 1: Facility Amenities and Fees

The following course fees were developed after extensive review and consideration of how the cross-country community currently operates at both the Jr. High, High School and College Level. Course fees and a participant/team fee are a normal occurrence and are required to offset the expense incurred by the MetroParks in maintaining and policing the facility during cross-country events.

  • A Dedicated Cross-Country Course Layout that meets NCAA Specifications with a 38 team starting grid and a 10 meter course width.

  • Ability for Race Host/Sponsor to raise funds by charging for parking and/or through increased team/participant registration fees. (prior MCMP Board Approval Required)
 
 

Course Fees

 

 Dedicated Course Fee:  $1,500.00 per day
 Race Deposit:  $250.00

Notes:
1. Race deposit is applied to final Course Fee and refundable if Meet is cancelled prior to 30 days before scheduled date.
2. Course Fee Balance is due day of scheduled event/meet.

1.One (1) Port a pot is required for every 50 participants.

Section 2: Cross Country Course Rental Request Application

 
 

*Mill Creek MetroParks has a fee per participant, so be as accurate as possible and refer to the fee schedule in Section 1. A participant count is required to be taken by the renter at the end of the event for billing purposes.

Will You Require Additional Parking Spaces and the Use of Canfield Fairgrounds Parking Lot?

 
*Mill Creek MetroParks Farm has 360 parking spaces available if McMahon Hall is not rented. If McMahon Hall is rented, the paved spaces will be reserved for hall rental customers. Therefore, 193 spaces in the gravel parking lot would be available for race/event use. It may be necessary for Mill Creek MetroParks to utilize overflow parking for any course reservation at any time based on availability.

 
 
There are Two Public Restrooms On-Site. Will You Need Mill Creek MetroParks to Provide Additional Port-A-Johns?
 
*There is a rental fee for each Port-A-John. Please refer to the fee schedule in Section 1. Port-A-Johns, if required, will be set up near the permanent restrooms on the north end of the gravel parking lot.
 

 

Mill Creek MetroParks can provide the use of Barn #4 for shelter from poor weather and other necessities such as staging areas for runners, award ceremonies, or concessions. Electric and water hook ups are available inside.

Will You Require the Use of Barn #4?
 
 
Trash bins are located throughout the property and cleanup is the responsibility of the Renter. MCMP staff will empty trash containers. Dumpsters are located near Barn #4 on the south end of the asphalt parking lot for disposal of larger items. Any equipment or supplies left behind will be disposed of by Mill Creek MetroParks personnel.

* Concessions and merchandise vendors require separate applications and fees. Contact information must be included above for any concessions and/or merchandise vendors.

*A member of the Mill Creek MetroParks Recreation Staff will contact these vendors to obtain proper information and documentation in order to be submitted and approved for the event.

All Cross Country Course Rental Requests Require Mill Creek MetroParks Board Approval.

  • This form, along with the Release of Liability form, the $250.00 deposit, and any other forms pertaining to your event such as vendor applications, should be submitted no later than 45 days prior to the event/activity to guarantee timely processing of this request if Board action is required. If Board action is not required due to already receiving permission with a prior event, this form should be submitted no later than 30 days prior to proposed date of event/activity.

Available dates are subject to the availability of the course and parking requirements.

  • When parking will exceed the maximum number parking spaces at the MetroParks Farm parking lot and the use of the overflow parking at the Canfield Fairgrounds is required, availability of the course rental will be subject to the availability of the Canfield Fairgrounds parking lot.
  • In addition, if McMahon Hall has been rented by a separate party on the dates requested, parking on the paved lot will be reserved for those attending the McMahon Hall event. Cars not adhering to rules, or designated parking areas will be towed at the owner’s expense. Please review the attached parking lot map.

Mill Creek MetroParks reserves the right to cancel the reservation/meet or deny the request based upon the course conditions, weather related or otherwise, and the availability of the Canfield Fairgrounds parking lot.

  • It is the responsibility of the Renter to make accommodations with the appropriate entities, and police spectator traffic to and from the Canfield Fairgrounds parking lot, ensuring their safety crossing Route 46. Renters may also collect parking fees if they so desire. Mill Creek Metroparks will not provide personnel or equipment for vendor and concession stand set up, timing stations, finish line set ups, tents, supplies, and/or volunteers for your event.
  • Mill Creek MetroParks will prepare the course in advance of the rental. Preparation includes mowing, rolling, paint striping, bikeway closure with necessary notifications to the public.
 
 
 

 

Section 3: Release of Liability and Indemnification for Damages

When the Group or Organization listed above is a corporation, limited liability company, partnership, or other separate legal entity, I represent and warrant that I am authorized to sign this document on behalf of the Group or Organization. When the Group or Organization listed above is an unincorporated association or otherwise does not constitute a separate legal entity, I represent and warrant that I am signing this document on my own behalf intending to be legally bound thereby. In consideration of the approval hereinafter given by the Board of Park Commissioners of the Mill Creek Metropolitan Park District (The “Board”) and/or its duly authorized representative, I, for myself or as the authorized representative of the above-referenced Group or Organization, as the case may be, hereby elect to, and do indemnify, hold harmless and assume all risks for claims heretofore or hereafter arising from the activity listed below on MCMP lands.

I also, for myself or as the authorized representative of the above-referenced Group or Organization, as the case may be, hereby knowingly and voluntarily expressly release the Mill Creek Metropolitan Park District (“MCMP”), the Board, and employees of MCMP from any and all claims arising out of the above listed activity on MCMP lands. Further, I, for myself or as the authorized representative of the above-referenced Group or Organization, as the case may be, agree to indemnify and reimburse MCMP for any damage to MCMP property caused by, resulting from, or arising out of the Activity described above.
